CIC Miami Entering Limited Operations Mode

DEAR CIC MIAMI COMMUNITY,

Thank you again — and wholeheartedly — for your patience, flexibility, and understanding as we temporarily closed and kicked off a presumed case protocol in the space over the weekend. I am writing to notify you that all requisite steps were taken and CIC Miami will be open again as of tomorrow, Tuesday, March 17.

As you all saw in a note from CIC’s CEO Tim Rowe yesterday, CIC will be entering Limited Operations Mode, currently effective until March 31. This decision is driven by a desire to: (a) keep your safety and our team’s safety first and foremost, and (b) play our part in helping to slow the spread of the virus. If you are curious for an interesting read on the logic behind this, here is a research paper I have found particularly illuminating. 

During this time, please expect that CIC Miami will close if we need to respond to further reports of impacted individuals or directives from local government. For instance, should there be other reported positive cases in the building, we will be following the temporary shutdown protocol again. Furthermore, we are anticipating that it may be only a matter of days before all office buildings are closed by local government authorities, as they have been in other cities and states. We are actively preparing for this eventuality, and will be in touch tomorrow about how to do so in the most orderly and least disruptive manner possible. Should you need to check for broader updates, please visit https://cic.com/covid19.

What can you expect during Limited Operations Mode at CIC Miami? See below.

ACCESS. CIC will remain open and accessible to clients who need to come in for essential tasks. To be clear, essential does not constitute business-as-usual, so if you do not deem your tasks as essential, please do not come in. As an extension of this, we are also asking that you limit as much as possible any and all meetings to virtual formats.

GUESTS. Your guests will be allowed in the building during this time, however, we have updated our guest check-in process. Instead of the 6th floor concierge, guests and food deliveries will now check in on the **first floor lobby.** We are asking CIC community members to please meet them by the first floor concierge, where you can then escort your guests upstairs or pick up your food deliveries. Thank you for your understanding with this change as we increase our efforts to be more thoughtful in how we accommodate your safety needs.

KITCHENS. Our kitchens offering will be adjusted as follows: (a) the 6th floor kitchen is closed, effective immediately (b) water is available in our 3rd floor kitchen (c) we are pausing the restocking of all refrigerated and pantry items until March 31, (d) our coffee machine will be unavailable at this time. Please plan accordingly if you need to come into the space. We hope to ramp back up once the situation is normalized.

MAIL. Our mail processing will continue as usual until further notice. You will be notified of packages received and signed for in the mailroom through the CIC Mail + Packaging App Notification System as usual. USPS mail will be received from the 1st floor mailroom and sorted in the 6th floor mailroom as usual. However, given the rapidly changing nature of the virus, we are assessing the situation day by day. We will be in touch with more mail processing related tomorrow, in case expectations should change around a mandated shutdown of office buildings.

DOORS. You will notice that many communal doors have been propped open and/or outfitted with foot pulls. Please heed the signage on the doors and keep them open at all times. Should you need to open them, use the foot pull so as to avoid touching the handles as much as possible. We  will also shortly be adding Nanoseptic sleeves to high-traffic areas such as door handles and elevator buttons.

CLEANING. Cleaning will continue M-F with the same, heightened process we already implemented some weeks ago. In addition, we will be adding some elements of deeper cleaning over weekends moving forward until further notice. These cleanings will not interfere with access to the space, and are different from the intensive cleaning that required a temporary shutdown this past weekend.

EVENTS. Given the special threat of virus propagation posed by gatherings, all events, internal programming (office hours, massage), and gatherings have been canceled through April 30. No one — including clients — will be able to host events at CIC Miami throughout this time. 

SANITIZER. We will continue to provide sanitizing gel at entrances to our spaces, and asking everyone to use hand sanitizer before entering the space.

A couple of other important things worth noting:

– Our team is looking into offering virtual office hours and resources for you over the next couple of weeks, especially specific topics pertaining to business responses to COVID-19, such as SBA grants being offered. – The Building Town Hall previously scheduled for this Friday has been cancelled, and will be rescheduled when things are normalized again.

Lastly, In the words of Winston Churchill, “Now this is not the end. It is not even the beginning of the end. But it is, perhaps, the end of the beginning.” I encourage you to prepare for a few complicated weeks ahead, and to lean on each other and lean on this community. We’ve seen the way you’ve supported one another in the last few weeks, and in isolating moments like these, we all need those connections even more.
